Who are we?

IndexatieHulp is an online calculation tool for rent indexation, operated from Belgium. Privacy questions: info@indexatiehulp.be.

What data do we process?

• Calculations without an account: the contract details you enter are only used to display the result and the letter and are not stored.
• Account (free or Pro): your email address, your own sender details (name, address, place) and the property data you save yourself (property name, address, tenant name, contract dates, rent, energy label, letter status). We use these exclusively to provide the service, such as pre-filling letters and the annual reminder email.
• Payments: run entirely via Stripe; we do not see or store any card data. Stripe processes your data as an independent controller (see Stripe’s privacy policy).
• Transactional email: login links and reminders are sent via Brevo (EU).
• Log files: our hosting provider keeps standard server logs (IP address, timestamp) for security, for a limited time.

Cookies

• Functional: a session cookie (login, form security), the ih_lang cookie that remembers your language choice and the ih_consent cookie that remembers your cookie choice. No consent is required for these.
• Statistics & advertising: Google Analytics and Google AdSense are only loaded after you click “Accept” in the cookie banner. If you choose “Functional only”, these services are not loaded. You can change your choice by deleting the ih_consent cookie in your browser.

Retention periods

We keep account data for as long as your account exists. You can permanently delete your account and all property data yourself via My account → My details, or with one email to info@indexatiehulp.be; payment data at Stripe falls under the statutory accounting retention periods.

Your rights (GDPR)

You have the right to access, rectify, erase and port your data, and you can object to certain processing. Email us and we will respond within 30 days. Complaints can be addressed to the Belgian Data Protection Authority (dataprotectionauthority.be).
